What are candidate emails?
Candidate emails are the messages a recruiter sends at each stage of hiring: confirming an application, inviting someone to interview, moving them to the next round, or explaining a delay. Together they shape how candidates experience your process.
Silence and unclear next steps are common frustrations for candidates. A short, specific email at each stage answers the questions candidates have: what happens next, when, with whom, and what they need to do.
This generator writes the email from the details you give it. It never invents interview dates, times or links. If something is needed but missing, it adds a short placeholder such as [date] for you to fill in, plus a sending tip for that stage.

Subject: Interview for the [Job title] role at [Company]
Hi [Candidate name],
Thank you for applying for the [Job title] role. We would like to invite you to a [30-minute video] interview with [Interviewer name, title].
Could you let us know which of these times works for you? [Time options].
Best regards,
[Your name]Which candidate email to send at each stage
| Email type | When to send it | What it must include |
|---|---|---|
| Application received | Soon after someone applies | Thanks, what happens next and roughly when they will hear back |
| Interview invitation | When you want to meet the candidate | Format, length, who they will meet, time options or a scheduling link, anything to prepare |
| AI interview invitation | When the first interview is run by an AI interviewer | That the interview is with an AI, how long it takes, how to join, the deadline and how answers will be reviewed |
| Moving to the next round | After a candidate passes a stage | What the next stage is, who is involved and how to book a time |
| Hiring freeze or role paused | As soon as a live role is put on hold | That the role is paused, that it does not reflect on them, and whether you expect to reopen it |
| Keep in touch | For strong candidates you cannot hire now | Why you want to stay in touch and how you will contact them |
Rejections have their own tool, the rejection email generator, with stage and tone options built for that conversation.

Generated email vs. saved template vs. automated stage email
| Approach | Best for | Limitation |
|---|---|---|
| Generated email | One-off messages where the details or tone vary | You still copy, check and send it yourself |
| Saved template | Messages your team sends the same way every time | Easy to leave old names or dates in by mistake |
| Automated stage email | High-volume steps such as invitations, reminders and scheduling links | Needs a hiring platform set up with your stages and wording |
How to know if your candidate email is good
Check each email before you press send.
- The candidate's name, the job title and the company are correct.
- Every placeholder has been replaced with a real date, time or link.
- The candidate knows exactly what to do next and by when.
- The format and length of any interview are stated.
- For an AI interview, the email says clearly that the interviewer is an AI and that people review the results.
- The tone matches the stage and your employer brand.
Common candidate email mistakes
Leaving placeholders in
A stray [date] or [link] looks careless. Search the email for brackets before sending.
Missing the practical details
Candidates need the format, length, who they will meet and how to join. Leaving any out leads to back-and-forth emails.
Not saying the interview is with an AI
Candidates should know before they start. Explain what the AI interview covers and that recruiters review the results.
Going silent during a freeze
If a role is paused, tell candidates promptly and honestly rather than letting the process stall.
Too many actions in one email
Ask for one thing at a time, such as booking a slot, so the reply is quick and clear.
Inconsistent wording across recruiters
Candidates notice when the same stage is described differently. Agree a standard version for each email type.
This generator vs. ChatGPT vs. writing it manually
This generator
Six email types built for hiring stages, with tone options, a sending tip and clear placeholders. It never makes up dates or links.
ChatGPT
Good at rewording and adapting tone. It may fill gaps with invented times, links or interviewer names unless you tell it not to.
Manual email
Best for sensitive or senior candidates where every word matters. Slow at volume and hard to keep consistent across a team.
Use the generator for routine stage emails. Write personal messages yourself, and automate the repeated ones once your volume grows.
When a candidate email generator is the wrong tool
Generating emails one at a time works for small volumes. It stops working when:
- You send the same invitation to dozens of candidates every week.
- Candidates miss interviews because nobody sent a reminder.
- Scheduling depends on a recruiter noticing who passed the last stage.
- Several recruiters send the same stage email in different words.
- You need to tell a candidate they were not selected.
In those cases, automated email reminders and branded stage emails keep candidates informed without someone remembering to send each one.
